Welcome to the Exhibitor Portal for the 2021 Expo in Essen, Germany.  The portal is your reference point to help you plan and prepare for a successful show on 29th and 30th September at the Messe Essen (Hall 3).

It allows you to submit forms and refer to useful information including show hours, travel information, parking,  registration, health & safety and much more. 

Please note some forms are required to be submitted by all exhibitors by 21st July 2021.  These forms are marked as compulsory in the Forms section.  

Package and Shell scheme exhibitors will only be able to access the exhibition hall (Hall 3) once the shell scheme has been completed. Space only exhibitors will have access to the exhibition area earlier.

Please bring your exhibitor pass. This will be required to access the hall.

Please note: space only stands may apply for early entrance on Monday 27th September directly to [email protected] It will depend on the amount of machinery coming to the show and its delivery timetable that early access will be granted.

Small and lightweight machinery, which can be transported manually, can be brought into the hall also from 12.00 (midday) on Monday 27th (Space only exhibitors) and from 13.00 on Tuesday 28th September (Shell Scheme and Package exhibitors).

Please note that all stands must be built and ready by 20.00 on Tuesday 28th September 2021. Only minor cosmetic changes are allowed on the show open days. Open day early stand building is strictly not allowed.
Any stand not ready by this time will incur a late set up fee of €500.

All exhibitors with package and shell scheme stands must be clear from the exhibitor hall (hall 3) by 20.00 on Thursday 30th September. After this time, the exhibition contractor will be clearing away the exhibition hall so a charge will be made to exhibitors who obstruct this work.

Please note: Exhibitors items CANNOT be removed from the exhibition hall until all delegates have cleared the area due to health & safety. To ensure the process runs smoothly please encourage delegates to vacate the building at the end of the event.

Please plan your travel accordingly as early breakdown will not be permitted.

Exhibitor Passes

All your staff will need to wear individual name badges during set up, the show and dismantle periods. You should register your exhibitor passes by completing our online registration page HERE.

  • Please note, if you have registered as part of a group booking, only the primary registrant will receive a confirmation email. The exhibition badges will be sent to all registrants 2 weeks prior to the show.
  • Please print your badges in advance to avoid any queuing on site – lanyard and plastic badge holders will be available. Please also have your badge on you during set up days.
  • A 2 stage control system will be in place to enter the hall.

At the first check, you will need to show one of the following please:

  • Printed / electronic proof of double vaccination (at least 14 days prior to the trade fair) 
  • Proof of a negative PCR test result taken within 48 hours before arriving at the venue
  • Proof of a negative antigen test result taken within 24 hours before arriving at the venue
  • Proof that you have recovered from a Covid-19 infection, with documentary evidence of a positive PCR test performed at least 28 days before the date of the show, but no more than 6 months ago

All forms of proof must adhere to the German authority's direction, please check with the Federal Foreign Office here.

Accommodation

AV equipment

If you are looking to have a TV / Monitor fitted to your stand panels this MUST be ordered through our official AV supplier/Stand contractor. See the Forms area of the portal.

Catering

A selection of exhibitor catering is available from Messe Essen, please see the Forms area for full details, prices & order form.

Carpets/floor covering

Shell scheme stands and package shell scheme stands are provided with standard carpet, you can order different floor coverings at an extra cost, if you wish, please see in the Forms area.

Space only stands do NOT have carpet included

Cleaning

It is your responsibility to maintain your stand in a clean condition at all times.

All stand carpets within the exhibition hall will be cleaned overnight during the open period of the event at no additional charge to exhibitors. Please note that this does not include the cleaning of exhibits or other stand surfaces.

Extended booth cleaning can be ordered from Messe Essen for the 29th and 30th September. Please see the Forms section for details.


Children

Children under the age of 16 will not be granted permission to enter the exhibition hall from build-up to breakdown, inclusive of the open period. Security officers have instructions not to allow children under the age of 16 onsite.


Code of practice

Please ensure that your stand is staffed at all times during the open period of the exhibition and that all exhibits remain displayed during the open hours. In order that no discourtesy is shown to last minute visitors to the show or to any other exhibitors around you, the organisers ask that no dismantling of the displays or exhibits commence before 17.00 or until visitors are clear of the exhibition hall on Thursday 30th September.


Customs clearance

You are advised to appoint a freight forwarding contractor who can arrange clearance on your behalf, as well as transport to and from Messe Essen and on-site lifting.

All deliveries must be made during tenancy hours (08.00 until 20.00 Monday 27th September to Friday 1st October) and addressed to the following:

For deliveries please add the event title and your stand number to the address.

The venue cannot take responsibility for any deliveries. If any deliveries need to be made during the event arrangements should be made in advance with the event manager.

No goods will be accepted into the venue before the event build-up period.


Dilapidation

Please remember that exhibitors are responsible for making good any damage caused to the fabric of the exhibition hall, by you, your agents or contractors. In your own interests, you should satisfy yourselves as to the condition of your stand site before build-up and during breakdown.

Exhibition stand layout (Space only)

If you are having a space only stand, you are required to submit a stand layout along with a completed risk assessment form by 21st July to the Rita Andrews via the email  [email protected] . The organisers will deal with any issues that may arise promptly so that your attendance at the show is not adversely affected.

Filming

If you are planning any filming or recording for television, radio, etc, at the event, please inform the event manager for approval.

Please note the following guidelines:

  • During event open periods, only hand-held, battery-operated equipment may be used in the hall. Gangways must be clear of dollies, tripods, cables and any other accessories.
  • Companies may use any filmed material of the interior, exterior and contents of the venue and may edit, record, televise, repeat filmed/recorded material, provided that the filmed/recorded material is not used in any way that might be to the detriment of the venue, its owner or the event, or that might bring them into disrepute.

First Aid

Please contact the Front Office of the Messe Essen in case of emergency. There you can find a first aid kit for minor injuries.

We also have a medical team on site – the Registration Desk will be able to get them to you as quickly as possible.

Fraud notice

We are aware of individuals and 'organisations' trying to sell visitor lists, accommodation services and fake listings to our exhibitors.   AMI does not cooperate with any such individuals and 'organisations' and we advise you to ignore such solicitations.  


Furniture

Furniture is available to order directly from the currently supplier, please the Forms section for full details, prices & to place an order.

Graphics & Panel Sizes

Please refer to Page 4 of the form Information on Digital Printing for more details on dimensions of panels used on package and shell scheme stands.  This from can be found in the Forms section of the Portal.  

Please note that anything (printing or poster) placed by the exhibitor on the panels needs to be removed completely after the fair. If the panels need to be cleaned by us, we will charge an extra fee to the exhibitor.  To avoid an extra charge for cleaning the panels and to have a good printing result, we always advise the exhibitor to order the digital print with our official service partner - see Form A2 Stand Elements, Graphics & Digital Print) in the Forms section of the Portal.

Health & Safety

It is the responsibility of the exhibitor to ensure the health, safety and welfare of all employees, contractors and visitors as far as is reasonably practicable throughout your event.

It is recommended that the exhibitor appoints a supervisor for the stand, with the specific responsibility for ensuring the Health & Safety of their staff and any contractors appointed by the Exhibitor.

You are asked for the appointed person to read and sign the event health & safety declaration form and return it by the below deadline.

Below are the principal areas we would like to bring to your attention but will not be restricted to the following:

  • The understanding of fire and emergency procedures and location of the first aid centre.
  • The need to maintain emergency exits and keep gangways clear.
  • Ensuring that good housekeeping is maintained in your work areas, thereby minimising risks and allowing any remaining hazards to be identified easily.
  • Working at height must be carried out in a safe manner, using suitable equipment in the approved way, in accordance with current legislation.
  • All powered access equipment shall only be operated by fully trained and certified personnel. Copies of training certificates must be available for inspection and anyone who cannot prove their competency may be asked to leave the venue.
  • Only acceptable substances are allowed on site and full compliance with the COSHH regulations is required.
  • All portable power equipment must be used only for the purpose for which it was designed and the correct safety guards and devices must be fitted and used. Trailing power leads must be kept to a minimum and not cross gangways. Petrol powered equipment must not be used.
  • Personal protective equipment (PPE) must only be used where other protective measures have been considered unrealistic i.e. PPE is the last line of defence. PPE must be suitable and sufficient for the job and employees trained in its use and limitations.
  • All contractors must be aware of the need to identify suitable and sufficient tools and equipment required for the job before coming on site. Borrowing of tools and equipment from EC&O is not permitted.
  • The consumption of alcohol is not permitted on the exhibition floor during the build-up and breakdown periods of the event.

Health Regulations

Hygiene measures for trade fairs at Messe Essen

AMI and Messe Essen is implementing a range of measures to ensure the highest levels of safety and hygiene during the Compounding World Expo, Plastics Recycling World Expo, Plastics Extrusion World Expo and Polymer Testing World Expo 2021.

We will be reviewing these measures as and when they change. 

We have however revised the floorplan enabling wider aisles, larger catering and conference areas, disinfectant dispensers will be provided across the fair and perspex panels will be placed at reception counters and other interaction points.

You will need to show one of the following:

-          proof that you are vaccinated against COVID-19 and have had your second jab at least 14 days prior to the show

-          a negative PCR test taken up to 48 hours before the date of the show

-          a negative lateral flow test taken up to 24 hours prior to the date of the show

-          proof that you have recovered from a COVID-19 infection, with documentary evidence of a positive PCR test  performed at least 28 days before the date of the show, but no later than 6 months ago

Please also print your show badge at home and bring it with you on the day.

All attendees will need a FFP2 mask or medical grade mask at the show. This is not required when sat down at the conference theatres or catering points.

Insurance

Please ensure you have suitable insurance cover for the duration of the show. Insurance for fire, public liability and theft must be taken out by each exhibitor at its own expense. The insurance is to cover the full period of occupancy of the premises by the exhibitor, its agents and employees

If you do not have insurance in place, you can purchase cover, for the duration of the show from the Exhibitors Portal.

Lead Retrieval

GES, our partner for registration at the Expos, will be in touch with the stand contact during September with an invite link.  The exhibitor will then be able to  download an app to scan visitor badges with at the show.

Literature

The distribution of leaflets and other promotional materials is confined to the stand area and is not permitted in the gangways or elsewhere in the exhibition venue, unless agreed with the organisers in writing prior to the opening of the show.

The organisers reserve the right to prohibit the display or distribution of advertising matter that could give rise to offence and to confiscate the supplies thereof for the duration of the event.

Patent & Copyright

The exhibitor must make sure of Protection of Patent Rights for equipment or products displayed, following the legal regulations in force. These formalities must be made before exhibiting these products or equipment, as the organisers cannot be held responsible in this particular field.


Parking

Parking can be purchased from 29th July via the Messe Essen website. The closest parking is in P6 and costs 24 Euros for the duration of the Expo, including set up day. Parking during Set up

If you would like to get close to Hall 3 to deliver items to your booth during set-up hours, this can be done via Tor 1 (Gate 1). Please have your exhibitor pass with you. You will need to check in to the fairground via security at the gate and pay a deposit of 100 Euros cash. You will then be issued a ticket for a limited amount of time to deliver items to your booth.

Photography/Video recording

AMI International will have an official photographer who will be present at the venue for the duration of the event. Exhibitors wishing to utilise the services of the official photographer should contact the press office. The exhibitor will be liable for all fees connected with any specific work carried out on their behalf.

AMI International will have photographs/video recordings taken throughout the event and you are reminded that when signing your exhibitor contract you gave permission to be photographed, recorded and/or videotaped. These photographs, recording and/or video tapes will be used for public display after the show.

Rubbish Waste

Messe Essen will remove general waste from the event during build-up, open period and breakdown. The following are excluded from this service and must be removed from site by the contractor or exhibitor, otherwise charges will be incurred by the exhibitor for removal:

  • Excessive waste including pallets, packaging and rubbish produced by exhibition stands (whether through working demonstrations, unpacking of exhibited items or otherwise)
  • Abandoned stand fitting materials and equipment
  • Hazardous waste. Hazardous waste is defined as follows:
    • light bulbs and fluorescent tubes
    • electrical equipment and fittings
    • gloss and emulsion paint and their containers
    • cooking oils and their containers
    • aerosols; full or empty
    • oils and lubricants
    • oily rags (this includes rags for cleaning shell scheme)


Risk assessment & method statement (space only stands)

All exhibitors must ensure that a competent person carries out a suitable and sufficient Risk Assessment of the significant risks to Health & Safety relating to their employees and/or any individuals involved in the undertakings during the event.  The organisers must receive a completed copy of this risk assessment & method statement by the 21st July.  All exhibitors are required to complete the risk assessment form which can be found in the Forms are of the portal. 

Exhibitors with Space Only stands are also required to submit a method statement.  Please send to [email protected].   


Security

Security is provided by Messe Essen who will be responsible for securing the exhibition area as well as undertaking random bag searches. AMI International and Messe Essen assume no responsibility for loss, damage or theft incurred to any exhibit or property of the exhibitor.

If you require static guards on your stand, please arrange through Messe Essen, details are provided in the Forms area of the Exhibitor portal.

Please do not leave valuables unattended on your stand at any time, especially during breakdown.

Show Catalogue Entry

AMI will be including profiles in the Show Catalogue for each exhibitor. The catalogue will be available for all attendees to pick up on site free of charge.

Each profile is limited to approx 120 words. AMI will use an edited version of your current floorplan profile. Should you wish for a different profile to be used, please submit your 150 word to [email protected] by 6th August.

Storage facilities

There will be storage facilities provided in the exhibition hall, this storage facility will be out of bounds during the show open days. All items required by exhibitors throughout the show, will need to be stored on the exhibitors’ stand.

Please do not store anything behind your stand. Fire regulations require that any items found outside your stand will be removed, as they will be deemed a fire hazard. Packing case must be removed from the exhibition hall. You should therefore make prior arrangements for the safekeeping of such items.

Please note that AMI International will not accept responsibility for items left behind at the end of the show. If items are left without the organiser’s approval, you may be charged for the disposal of the item(s).


Telephone lines/internet

If you require any IT services for your stand (including cable internet connection), Please forms area of the portal. 

We will have free wi-fi available in the lobby and inside the halls – code to connect will be in your welcome pack on-site.

If you require a stable internet connection for demos, we advise to order this separately as we cannot guarantee the speed due to number of users.

Please refer to the below information to check what is included in the type of stand you ordered.  Please note the images shown for Package and Shell Scheme stands are examples only, and show corner stands.

Package stands includes walls (consisting 1m panels), gridded roof, carpet, fascia board with company name, PLUS 2 spotlights, 1 x 2.8kW connection with 1 socket for last day of set up and both Expo days, 1 table, 2 chairs and a welcome counter. Please note the image above is an example of a 12m2 package stand, please check the dimensions of the package stand you ordered.

The table is the model 'Fermo 70', the chairs are the model 'Bunny' and the counter 'Bari'.

The welcome / info counter will come with a plastic protection screen, for health purposes, and a disinfectant dispenser.

The following carpet colours will be used in the following halls:

Compounding = Blue, Recycling = Green, Extrusion = Orange, Testing = Purple

Any extra equipment, fittings, furnishings and stand services you require can be ordered via the FORMS section of the Portal.

The Shell Scheme stand includes walls (consisting of 1m panels), gridded roof, carpet, fascia board with company name, 1 x 2.8kW connection with 1 socket for last day of set up and both Expo day and 2 spotlights as well as  a disinfectant dispenser.

The following carpet colours will be used in the following halls:

Compounding = Blue, Recycling = Green, Extrusion = Orange, Testing = Purple

Space only means Stand Build and other utilities e.g. plumbing, electricity etc. must be ordered separately and are not included in the price.

COVID-19: What will I need to bring with me to enter the Expo?

You will need to show one of the following:

 COVID-19: Will I need to show the COVID related paperwork every time I enter the show?

No, you will only need to do this once per day when you first enter the exhibition. If you want to leave and return to the show during the day, we will issue you with a wristband to show your paperwork has been checked.

COVID-19: What measures have you taken to make this Expo safe?

We have enhanced cleaning in the high-traffic areas, including restrooms and catering points. You will find sanitising stations located around the venue, and we have increased the aisles width to allow for social distancing.

 Are the catering points open?

The catering offer at the event will be increased to accommodate more people and to reduce queuing.

Can I order graphics and furniture for my stand?

Yes, via the Exhibitor Portal. Please refer to the A-Z Information section and the Forms section. Form A2 Stand Elements, Graphics & Digital Print is for ordering and Form A3 Information for Digital Printing gives information on dimensions and specifications for artwork.

Who will be building the package and shell scheme stands?

We will be using the Messe Essen stand build partners to build package and shell scheme stands.

Which type of furniture does the package booth come with?

The chairs are the model ‘Bunny’, table ‘Fermo 70’ and counter ‘Bari’.
Unless specified by the exhibitor, chairs will be usually black or white.

We have ordered a package stand. Can we swap the furniture, which comes with the package, for different types of furniture?

This is possible but the exhibitor would have to pay for the furniture you would like to swap for. The package stand price is fixed. To order extra furniture please do so by checking the Forms section of the Portal or contact [email protected] 

Is carpet included on stands?

Carpet is included on Package and Shell scheme stands but not Space Only. Compounding = blue carpet, Recycling = green, Extrusion = orange and Testing = purple 

Is electricity included on stands?

Yes, a minimum connection of 500 W will be supplied to all Package and Shell scheme stands but not Space only stands. If you will be operating equipment and devices which need a more powerful supply, please order this via the Forms section of the portal.

Can I use an extension lead / power strip on my stand?

Yes, you can but make sure not to overload with devices which require extra supply. If you will be operating equipment and devices which need a more powerful supply, please order this via the Forms section of the portal.

Are the counters supplied with Package stands lockable?

A key will be supplied along with the counter.

Normally it will be attached with tape on the counters doors.

Can i mount a TV/Screen to the stand walls?

This is not possible with shell scheme and package stands. You can hire a stand from the Audio Visual order form in the FORMS section of the portal.

Is there car parking at Messe Essen?

We would encourage all attendees to use the public transport system. If you are travelling by car, then there is also parking available on site. 
Parking can now be purchased via the Messe Essen website. The closest parking is in P6 and costs 24 Euros for the duration of the Expo, including set up day. P5 and P9 will also be open.

Can I still speak at the theatres in Essen?

Presentations are reserved for exhibitors.  The programme and speaker line up was published in May. If you are interested in speaking, we may be able to place you on a reserve list so please do get in touch with Matt Wherlock [email protected]

When will you inform us at the latest, if the Expo has to be postponed to 2022? 

If the CWE is postponed, this would be announced by end of August 2021 latest.

What happens to the stand and its costs, if the the Expo has to be postponed? 

If AMI postpones, your stand would be transferred to the next edition, or you could use the money as credit towards other AMI products or a refund. This would be outlined in an email, should we have to postpone.  If the exhibitor withdraws, the exhibitor is liable to the cancellation costs as per the T&C.

If the Expo is cancelled/postponed, what happens to the orders that we place with Messe Essen for extra furniture, electrics, equipment? 

If CWE does not take place, then any orders placed directly with Messe Essen would be dealt with by the Messe Essen.  The venue only charges for services which have been provided.

Is there a lead retrieval service?

Yes, details to follow. This service is provided by GES.

Which measures are being taken to protect against COVID?

AMI and Messe Essen is implementing a range of measures to ensure the highest levels of safety and hygiene during the Compounding World Expo, Plastics Recycling World Expo, Plastics Extrusion World Expo and Polymer Testing World Expo 2021.

We will be reviewing these measures as and when they change. 

We have however revised the floorplan enabling wider aisles, larger catering and conference areas, disinfectant dispensers will be provided across the fair and perspex panels will be placed at reception counters and other interaction points.

Do I need a fire extinguisher on my stand?

No for Package and Shell Scheme stands.  Exhibitors who booked Space Only stands MUST ensure materials used are fire retardant according to EU regulations.

Can I predetermine how the furniture, electrical socket and spotlights are laid out on my stand? 

You can by completing the form G1 Stand Sketch on the FORMS section of the Portal, and returning to the email address on the form. 

Can I park close to the Hall 3 to delivery items to my stand?

If you would like to get close to Hall 3 to deliver items to your booth during set-up hours, this can be done via Tor 1 (Gate 1). You will need to check in to the fairground via security at the gate and pay a deposit of 100 Euros cash.  Please have your exhibitor pass and proof of vaccine/recovery/test with you. You will then be issued a ticket for a limited amount of time to deliver items to your booth.
